Why it matters
- Trust: Your logo, colors, and legal links look like your hiring flow, not a generic third party.
- Compliance: Privacy, terms, and support URLs on the welcome step before candidates begin.
- Efficiency: One template group per brand/client, applied to many interviewers.
Where to configure
Sidebar → Outreach → Interview Branding
- Templates: Individual page designs (one type per template).
- Template Groups: Packs of templates applied together.
Template types (what each controls)
There are four template types: Welcome, Status, Interview, and Interview Complete.Welcome page
First screen before the candidate starts.- Company name override: Overrides the default workspace name shown to candidates.
- Company logo:
.jpg/.png(transparent PNG recommended). - Display: Option to hide “Powered by HeyMilo” for white-label.
- Links: Each link has a toggle — turn it on to show it to candidates, or off to hide it entirely. Must be valid, full URLs (

Make sure a design template group is assigned to the interviewer for branding to take effect.
Status page
A tracker screen candidates see that shows their progress through each stage of the interview flow.- Header text: Main title shown at the top (e.g. “Initial Screening”).
- Subtitle text: Supporting line under the header (e.g. “Complete each engagement round to complete your interview.”).
Only steps that are part of the interviewer’s workflow are shown to candidates.
Interview page
The screen during the AI interview.- Backdrop image: Background behind the interview UI.
- Avatar image: Visual for the AI interviewer.

Guidelines: Avatar — square or portrait, ≥ ~512×512. Backdrop — landscape, ≥ ~1920×1080. You can toggle images on/off; if empty, defaults apply.
Interview complete page
Shown after submission.- Header text: Main message (e.g. thank-you).
- Sub text: Supporting line (e.g. what happens next).
- Button label: Text on the CTA.
- Button URL: Where the button sends them (careers site, ATS, next-steps page). Use
https://.
Create templates

- Interview Branding → Templates
- Create Template
- Name: Clear internal label (e.g. “ACME — Welcome”).
- Type: Welcome, Interview, or Complete (labels match the product).
- Fill the fields for that type; save.
Template groups

- Template Groups tab → Create Group
- Group name
- Select which template to use for each slot / type the UI shows
- Create Group
Apply branding to an interviewer

- Create or edit the interviewer (posting).
- Find Design Template Group under Communication & Branding.
- Choose your template group.
- Save.

Default template group (workspace)

- Template Groups
- On the group → click the start
- New interviewers can inherit this group automatically (exact behavior follows the product).
Edit, delete, and impact
- Edit template: Opens the template; Save.
Important: Updates affect every template group that includes that template and every interviewer using those groups. - Delete template: Usually blocked if the template is still in any group. Remove it from all groups first, then delete.
- Delete group: Use the group actions in the UI; re-point interviewers that still referenced that group.
Best practices
- Working links only: Broken privacy/terms/support links hurt trust and compliance.
- High-res assets: Crisp logo and images; transparent PNG for logos.
- Pilot: Attach the group to a test interviewer, run through as a candidate (or test link) before rolling out everywhere.
- Naming: Use names like “Client X — White label” or “Internal — Default brand.”
- Refresh: When logo, legal pages, or copy change, update templates and any Company Context defaults so nothing contradicts.

Do changes apply immediately?Yes for new sessions—candidates starting (or refreshing) after you save see the updated branding. How do I preview?
