Automated comms off: To turn off all automated emails and SMS from HeyMilo and handle comms yourself, use Turn Off All Candidate Communications under Settings → Company Context.

  1. Open the interviewer (agent/posting) you want candidates to apply to.
  2. Go to Integrations (alongside sections like Settings, Analytics).
  3. Use the Inbound (and other) cards there—Share Link, Add Manually, Ingestion Gateway, Ingestion API, Apply Email, Backfill Candidates, plus ATS and Indeed when configured.
  4. Outbound (e.g. Webhooks) is separate—used for sending events out to your systems, not for pasting an apply link.
Inbound options available: ATS and Indeed appear as their own integration blocks (e.g. “ATS Integration — Not configured” until you connect them).

By integrating your ATS with HeyMilo - you’ll see the highest success with completion rates. HeyMilo handles candidate engagement after they apply, including interview invites, reminders, and follow-ups across multiple channels.

No ATS? Here’s Your Next Step

Use Integrations → Inbound:
  • Share Link: your main “apply here” URL
  • Add Manually: one-off or referral candidates
  • Ingestion Gateway: batches (CSV / resumes)
  • Apply Email / Ingestion API: if those fit your process
  • Plus email or SMS you send, with the Share Link or a per-candidate link from Add Manually

  3. Enter the candidate’s details. HeyMilo creates a unique interview link for that person—trackable, no API required.
Best for: referrals, one-offs, or anyone not coming through ATS/Indeed yet.

  1. Engage: Reach out soon after apply or after you add them. Use HeyMilo email templates / automations where enabled, or your own sends.
  2. Channel: Email for professional roles; SMS often works better for shift/hourly pools. With ATS connected, HeyMilo can automate more of this for you.
  3. Messaging: Say clearly that the next step is an interactive (AI) interview.

Bulk ingestion (CSV / resumes)

Email automation without a full integration

Many ATS/HR tools can send an email when someone applies. Point that automation at your Share Link (or a merge field that includes it). Customers mention systems like iCIMS, Rippling, iSolved as examples—your trigger is “new applicant → send email with link + short instructions.”
You can also layer in automated reminders (e.g., 24 or 48 hours later) for anyone who hasn’t completed their interview yet.

Best practices for high completion rates

  • Clear communication: Time, purpose, convenience, how to get help.
  • Timing: Invite soon after apply; mind time zones; avoid Friday-only first touches when you can.
  • Mobile: Test the Share Link on a phone; short subjects; simple steps.
  • Personalization: Name, role, level-appropriate tone.

  • Completion by source (email, SMS, social, Indeed, ATS, etc.)
  • Optimize: subject lines, send time, message length, mobile vs desktop
Red flags: low opens (spam/DNS), high drop mid-interview (length/UX), repeated “confusion” feedback.

Troubleshooting

  • Low response: Spam folder; simplify copy; check Sender Domains.
  • Technical: Open Share Link in an incognito window; try mobile; confirm browser guidance in your candidate doc.
  • Confusion: Spell out “AI interview” / steps; add FAQ; offer support.
