# Offboarding, Exports & Data Retention

> What to expect if you cancel or don't renew HeyMilo — what stops, what to export before your last day, how long data is kept, and how candidate deletion requests work after you leave.

If you cancel or don't renew HeyMilo, here's what to expect.

## What stops

* **New candidate screening stops** when your subscription ends and/or your workspace is deactivated.
* If HeyMilo is disconnected from your ATS, we **stop sending new results**. We do **not** delete interviews, scores, or notes already saved in your ATS — you manage that data in your ATS.

## What you should do before your last day

**1. Export what you need**

Export reports and candidate records you need from HeyMilo. A [workspace-wide export](https://docs.heymilo.ai/guides/run-and-review/exporting-workspace-data.md) pulls every candidate across every posting into one file.

**2. Disconnect your ATS**

Disconnect HeyMilo from your ATS if your team handles that — or ask us during offboarding.

**3. Name your offboarding contact**

Tell us who should get offboarding confirmation (usually your admin or procurement contact).

## How long we keep data in HeyMilo

Retention follows your **contract**, **DPA**, and your **workspace settings**. Many customers have a period after termination to access and export data (often around **60 days** — check your agreement). After that, we delete or de-identify data in HeyMilo according to those terms. Backups may roll off on a separate schedule.

## Candidate deletion requests

Candidates can use **"My data"** in the interview flow or email [privacy@heymilo.ai](mailto:privacy@heymilo.ai). You respond to the candidate as the employer (**data controller**); we help delete data in HeyMilo as your **processor**. Deletion in HeyMilo does **not** remove copies in your ATS or other systems.

## Returning later

If your workspace was deactivated but not fully deleted, we may be able to turn it back on if you become a customer again. After full deletion, data cannot be restored.
